Bay County Fair & Youth Exposition 2008
Learn new skills, meet new people, improve the "community service" section of your resume,
and become a part of a unique experience in your community. There are many volunteer
opportunities at the Bay County Fair. Volunteers are the most important resource of the fair. We
are always ready to welcome dynamic people who will help to promote and support the Youth of
Bay County.
To ensure the ongoing success of our fair, we need volunteers. Volunteers are encouraged to
attend monthly fair board meetings and become involved in committees, however, "workers" are
always welcome at events.
There are many committees and activities throughout the year, but our busiest time is during the
fair. There are several areas that volunteers may sign up to participate.
Please review the many volunteer opportunities that exist. Volunteers under 18 years of age
must be accompanied by an adult.
VOLUNTEER OPPORTUNITIES
Activities/Youth Tent- 2 hour shift, 1 to 2 people per shift. Times needed are 2 pm to 9 pm. Duties included
monitoring/supervising events in the tent, answering questions, trouble shooting problems
Clean Team - 1 hour shifts, 2 people each shift - Requires walking the fairgrounds daily from 2 pm until 10 pm
making sure that the water & paper towels at the wash stations are full, picking up litter.
Concessions- Food Trailers - 2 to 4 hour shifts- 3 people each shift for 2 areas- Requires setting up, preparing
and selling hot dogs, sloppy joes, nachos and cheese during grandstand events. Hours begin at 2 pm until end of
show (approximately 10 pm).
Concessions-Horse Shows - 2 to 4 hour shifts. 3 people each shift. Requires setting up, preparing and selling
hot dogs, nachos and cheese, sloppy joes, pop and water. Time volunteers are needed are 8 am to 5 pm.
Concessions-Grandstand - 2 to 4 hours shift- 3 to 6 people to sell pop, water and popcorn. Times volunteers
are needed are 5 pm to 10 pm.
Food Drive - 2 hour shift - 2 people each shift - Duties include collecting food at the front gates. Times
volunteers are needed are 2 pm to 8 pm.
"Gopher"- 2 to 4 hour shifts - 2 people for each off season event and daily during fair week to run errands both on
and off the fairgrounds such as getting ice from the cooler, transferring food from the main food trailer to the other,
escorting people to a location on the fairgrounds. Taking water to volunteers. Times volunteers are needed are 2
pm to 9 pm.
Grandstands- 1 to 2 hour shifts- 4 to 6 people to clean the grandstands of litter and cans after each event. Time
usually is 9 pm to 11 pm.
Grounds- various shifts and hours - "Bull workers" needed to help set up the grounds for fair week. Includes
putting up tents, chairs, tables, lighting etc. Various times.
Horse Shows- 1 to 2 hour shifts. 4 people each shift to assist with opening and closing gates, handing out ribbons.
Times volunteers are needed are 8 am to 5 pm.
Hospitality/Information - 2 hour shifts - 2 people each shift to walk the grounds during fair week. Duties included
greeting and talking with guests, giving directions, and filling out questionnaire with fair attendees. Times volunteers
are needed is 2 pm to 9 pm.
Merchant's Building- 2 hour shifts - 1 person to monitor merchant building from 2 pm to 10 pm daily during fair
week.
Office- 2 hour shift - 1 person needed to answer the phone and give information about the fair, take messages and
use a radio to contact fairboard members. Times volunteers are needed are 10 am to 6 pm.
Parking- 2 to 4 hour shifts - 4 to 10 people. Duties include taking entrance fee at gate, giving directions, handing
out a fair events flyer. Times volunteers are needed are 1 pm to 8 pm.
Set-up/Take Down- various shifts and hours. Assistance is needed in putting up and taking down tables and
chairs, putting away coolers, hoses, and various equipment.
Ticket Taker- 2 to 4 hour shift, 2 people per shift - Duties included taking a ticket at the grandstand gate and
stamping a hand after taking the ticket. Times volunteers are needed are 5 pm to 9 pm.
50/50 Ticket Sales- 4 hour shifts during grandstand events. 4 to 8 people to work in pairs selling 50/50 tickets.
Times volunteers are needed are 6 pm to 9 pm
FAIR BOARD COMMITTEES AND OPPORTUNITIES
Concessions - Chairperson position - Responsible for coordinating volunteers for events, ordering and
preparing food for events and food trailer set-up and tear-down. Requires knowledge of food regulations and
obtaining a food vendor license.
Grandstand Events - Chairperson position - Responsible for coordinating volunteers for events, set-up and
tear down.
Fair Board Member - Open to any person in the community who would like to become involved with the Fair.
Grounds and Maintenance - Chairperson position - Open to any person in the community who would like to
be the coordinator for setting up and tearing down for events. Includes grass cutting, weed-whacking, trash barrel
placement and general cleaning after an event. Responsible for coordination of volunteers for this committee.
Hospitality - Chairperson position - Open to any person in the community who would like to become involved
with the fair. Duties included organizing volunteers for this committee. Duties included meeting and greeting
quests of the fair, giving directions, talking with fair go-ers about their experience at the fair/events.
Marketing/Advertising - Open to any person in the community who would like to become involved with the fair.
Duties included public relations within the community using a very limited budget.
Merchant's Building - Open to any person in the community who would like to become involved with the fair.
Duties include scheduling and coordinating vendors to attend the fair, mailing contracts, collecting money and
monitoring the activities of the vendors. Responsible for coordinating volunteers for this committee.
Parking - Chairperson position - Open to any person in the community who would like to become involved with
the fair. Duties include scheduling and monitoring volunteers for this committee, set - up of the parking areas and
collection of money.
Policy & Procedure - Persons are needed to assist the committee chairperson with maintaining and updating fair
policy.
Sponsorships/Donations - Chairperson Position - Open to any person in the community who would like to
become involved with the fair. Responsibilities included seeking sponsorship money from various businesses who
would support our fair.
Volunteers - Chairperson Position - Open to any person of the community who would like to become involved
with the fair. Responsibility includes coordination of all volunteers, screening of volunteers, orientation and
volunteer appreciation.
Youth Tent & Activities - Open to any member of the community who would like to become involved with the fair.
Duties include assisting the chairperson with scheduling and coordinating events in the Activities Tent.
